CastTool Help
Agencies and casting offices

Email

Sender, reply address and recipients, your own sender domain, templates, log and suppressed addresses.

CastTool sends your agency's emails itself: to clients, models, parents and your team. They come with your name as sender from a shared platform domain, and replies go to your address.

Sender and recipients

Under Email settings, in the Sender and recipients section:

  • Sender name: if empty, your agency's name is used.
  • Reply address (Reply-To): replies to your emails go here. If empty, the first address from the list below is used, otherwise an owner or admin.
  • Notification recipients: new inquiries, applications and contact requests go to these addresses, one per line. If empty, all owners and admins get them.
  • Default email language: you can choose from the languages active on your website.

Your own sender domain

Optionally, your emails come from noreply@ at your own domain, such as mail.your-agency.com:

Under Your own sender domain, enter the domain and choose Add domain.

Set the DNS records shown at your domain provider. It can take a few hours until they are visible.

Check status. Until it is confirmed, emails keep going out through the shared domain.

Templates

Email templates shows every email CastTool sends for your agency, with subject and preview in each language. The templates are part of the platform and apply to all agencies. Send a test to my address sends you an email with sample data.

Emails to an address from a form on your website, such as the confirmation of an inquiry, contain no text from the form. That way your form cannot be used to send text to strangers.

Log

The Email log shows every email with recipient, subject, template, time and status, failed attempts included. It only shows the content if the email contains no secret link. Common states:

StatusMeaning
SentThe email provider accepted the email.
Attempt failed, will retryOne attempt failed, CastTool tries again.
UndeliverableThe address does not exist or permanently accepts nothing.
Reported as spamThe recipient marked the email as spam.
Suppressed addressNot sent because the address is suppressed.
ThrottledNot sent because a limit on the number of emails was reached, for example during the trial.

Suppressed addresses

If an email was permanently undeliverable or reported as spam, your agency sends no more emails to that address. The list is under Email settings in the Suppressed addresses section. Lift suppression releases an address again, for example when a mailbox works again.

During the trial

During the trial, the number of emails per hour and per day is limited. Anything beyond that is retried later by CastTool, or it shows as Throttled in the log. With a subscription this limit goes away, see Subscription.
